2. Cancellation and Refund Eligibility

2.1 Standard Cancellation Policy

2.2 Special Tours and Peak Season Bookings

Certain premium tours, custom experiences, and bookings during peak tourist seasons (October-April) may have different cancellation policies. These specific policies will be clearly communicated during the booking process and in your booking confirmation.

2.3 Group Bookings

For group bookings (6 or more participants), the following cancellation policy applies:

If you or any member of your party fails to arrive at the designated meeting point at the scheduled time ("No-Show"), you will not be eligible for any refund.

3. How to Request a Cancellation and Refund

To request a cancellation and refund, please follow these steps:

  1. Contact Us Promptly: As soon as you know you need to cancel, please notify us by:

  3. Confirm Cancellation: You will receive a cancellation confirmation email once your request has been processed.

4. Refund Processing

4.1 Refund Method

Refunds will be processed using the same payment method used for the original booking:

  • Credit Card payments will be refunded to the same credit card
  • PayPal payments will be refunded to the same PayPal account
  • Bank transfers will be refunded via bank transfer to the original account

4.2 Refund Timeframe

We process refund requests within 5 business days of receiving the cancellation request. However, depending on your payment method and financial institution, it may take an additional:

  • 3-5 business days for credit card refunds
  • 1-3 business days for PayPal refunds
  • 5-10 business days for bank transfers

4.3 Currency and Exchange Rates

All refunds will be processed in the original currency of the booking. If your original payment was made in a currency different from your card or account currency, the refund amount may vary due to exchange rate fluctuations. Dubai Adventure Tours is not responsible for any differences in refund amounts due to currency exchange rates or fees charged by your financial institution.

5. Modifications to Bookings

If instead of cancelling, you wish to modify your booking (change date, time, or tour type), the following terms apply:

5.1 Rescheduling

You may reschedule your tour subject to availability and the following conditions:

  • More than 48 hours notice: Rescheduling can be done free of charge, subject to availability.
  • 24-48 hours notice: Rescheduling is subject to a 15% rescheduling fee.
  • Less than 24 hours notice: Rescheduling is treated as a cancellation and new booking, subject to the standard cancellation policy.

5.2 Tour Changes

If you wish to change to a different type of tour:

  • If the new tour is more expensive, you will need to pay the price difference.
  • If the new tour is less expensive, we will refund the price difference according to the standard refund policy timeframes.
  • Changes requested less than 48 hours before the scheduled tour may be subject to additional fees.

5.3 Participant Changes

Changes to participant names or details can be made free of charge up until 24 hours before the scheduled tour. After this time, changes may not be possible due to operational arrangements.

6. Cancellations by Dubai Adventure Tours

6.1 Tour Cancellation

Dubai Adventure Tours reserves the right to cancel tours due to circumstances outside our control, including but not limited to:

  • Weather conditions that may affect safety or the quality of the experience
  • Insufficient number of participants for a tour to operate
  • Force majeure events (natural disasters, political instability, etc.)
  • Unexpected operational issues

6.2 Refunds for Tours Cancelled by Us

In the event that Dubai Adventure Tours cancels a tour, you will be offered the following options:

  1. Full Refund: 100% refund of the amount paid, processed within 5 business days.
  2. Tour Credit: 110% of the amount paid as credit for future tours, valid for 12 months.
  3. Reschedule: Reschedule your tour to another available date at no additional cost.

6.3 Limitation of Liability

In the case of tour cancellation by Dubai Adventure Tours, our liability is limited to the refund options described above. We will not be responsible for any additional costs incurred, such as flights, accommodation, or other arrangements made in connection with the tour.

7. Partial Refunds and Special Circumstances

7.1 Early Termination of Tours

If a tour is started but terminated early due to:

  • Weather Conditions or Safety Concerns: A prorated refund may be offered based on the portion of the tour completed.
  • Participant Behavior: No refund will be provided if the tour is terminated due to disruptive or unsafe behavior by a participant.
  • Participant Choice: No refund will be provided if participants choose to leave the tour early for personal reasons.

7.2 Medical Emergencies

In cases of serious medical emergencies that prevent participation, we may offer a more flexible refund policy. Documentation from a medical professional may be required to support such requests.

7.3 Special Circumstances

We understand that exceptional circumstances may arise. In cases of:

  • Death in the immediate family
  • Serious illness or injury
  • Natural disasters affecting your place of residence

Please contact us as soon as possible with relevant documentation, and we will evaluate refund requests on a case-by-case basis.

8. Travel Insurance Recommendation

We strongly recommend that all customers purchase comprehensive travel insurance that includes coverage for tour cancellations, medical emergencies, and trip interruption. Travel insurance can provide protection in situations where our standard refund policy may not apply.

9. Promotional Discounts and Non-Refundable Bookings

9.1 Special Offers and Discounts

Tours purchased using special promotional codes, flash sales, or steep discounts may have different refund policies, potentially including no-refund terms. Any special refund terms will be clearly stated during the booking process.

9.2 Explicitly Non-Refundable Bookings

Some tours or packages may be offered at discounted rates with explicitly non-refundable terms. These will be clearly marked as "Non-Refundable" during the booking process, and by proceeding with such a booking, you acknowledge and accept these terms.

10. Disputes and Complaints

If you are dissatisfied with any aspect of your tour experience:

  1. Please inform your tour guide immediately during the tour so that we can attempt to address the issue on the spot.
  2. If the issue could not be resolved during the tour, please submit your complaint in writing to info@dubaitours.ae within 7 days of the tour date.
  3. Include your booking number, detailed description of the issue, and any supporting evidence (photos, videos, witness statements).

We will investigate all complaints thoroughly and respond within 14 business days. Refunds related to quality concerns or service issues will be evaluated on a case-by-case basis.

11. Policy Updates and Changes

Dubai Adventure Tours reserves the right to update or modify this Refund Policy at any time. Any changes will be effective immediately upon posting the revised policy on our website.

The Refund Policy in effect at the time of your booking will apply to your transaction. We encourage you to review this policy each time you make a booking.
